PURPOSE:
The Medical Education Coordinator provides coordination, scheduling, ongoing program support to all of Northern Ontario School of Medicine (NOSM) University and other medical learner community based programs, learners, physician faculty and other stakeholders.

Reporting directly to the Sault Ste. Marie Academic Medical Association Manager, the Medical Education Coordinator is directly accountable for all medical learners, including Physician Assistant Students, Medical Students, and Medical Residents attending any placement/rotation in all medical facilities in Sault Ste. Marie.

DUTIES:
1. Ensures all medical learners’ complete and record all local orientation requirements, meet and adhere to all organization protocols, and are adequately trained and advised on policies and systems.
2. Provides onsite individualized orientation for each new learner.
3. Provides placement schedules based on department, physician, program and learner requirements.
4. Coordinates the acceptance of all learner placements by determining capacity with faculty preceptor and communication to NOSM U and medical learner.
5. Ensures all medical learners’ have IT systems set-up and appropriate training to access and use the medical facility systems.
6. Communicates changes to local policies and procedures to medical learners.
7. Functions as the local NOSM contact for questions or issues that may arise related to the medical learner/faculty during placements in our community.
8. Prepares preceptor information and billing to Local Education Group for issuing preceptor stipends.
9. Ensures local Professional Association of Residents of Ontario (PARO) guidelines are met.
10. Ensures NOSM local curriculum and academic requirements are fulfilled for each learner.
11. Coordinates Undergraduate Medical Education (UME) curriculum and program for Phase 2, year 3 Comprehensive Community Clerkship (CCC) medical students from September to March each year.
12. Coordinates all Undergraduate Medical Education curriculum and core placements for Phase 3, year 4 medical students’ from April to June each year by collaborating with each department, preceptors, and students.
13. Coordinates elective placements for Phase 3, year 4 medical students.
14. Coordinates local Postgraduate Education (PGE) curriculum, program, and continuous program improvement in conjunction with the Sault Ste. Marie Academic Medical Association Manager, Postgraduate Program Directors, NOSM Postgraduate Staff, and NOSM PG Learners.
15. Develops and delivers week-long community orientation for UME CCC medical students annually first week of September.
16. Coordinates and delivers orientation for all incoming home-based medical residents including Sault Area Hospital, Group Health Centre, Superior Family Health Team, and other local healthcare requirements in July of each year.
17. Promotes and provides support for Sault Ste. Marie home based residency positions including Family Medicine, Psychiatry, Public Health, Emergency Medicine, Pediatrics and Anesthesia by communicating with learners and preceptors, arranging electives, and assisting program site directors.
18. Develops annual block as well as monthly day to day schedules for all residents according to NOSM PGE curriculum, resident learning objectives, and faculty availability.
19. Provides support for capacity building efforts and project planning in preparation for the expansion of medical education.
20. Assists the Summer Studentship Program by organizing onboarding requirements, and working with Physician Recruitment to organize group sessions, arranging for preceptors, and day to day clinic placements.
21. Track and reports Medical Trainee Data to NOSM/Ministry of Health.
22. Tracks and submits billing to NOSM U and Sault Ste. Marie Academic Medical Association (SSM AMA) for all preceptor and community agencies involved in learner placements.
23. Ensures the financial policies and procedures are adhered to as well as payment to vendors in a timely fashion.
24. Submissions of accounts payable to SAH and/or NOSM for all NOSM related expenses.
25. Other duties as assigned.

QUALIFICATIONS:
• College Diploma in Administration/Business from a recognized post-secondary institute with Canadian accreditation or its equivalent in knowledge and experience.
• Minimum two years of previous coordinator experience at a senior administrative level.
