The Algoma District School Board invites qualified applicants to apply for the position of Long Term Occasional Business Administrative Services (BAS) Clerk and Payroll Clerk. Subject to change, this position will commence August 18th, 2025 and conclude April 30th, 2026.

Summary
Reporting to the Supervisor of BAS and Supervisor of Payroll the successful candidate will work collaboratively within both departments in processing weekly pay runs and processing account payables.

Qualifications
Successful completion of a post-secondary degree or diploma in accounting or a related business program from an accredited college or university. The preferred applicant will possess 1 to 2 years’ experience working with a computerized accounts payable/purchasing system and/or a computerized payroll system. \ Proficiency in Microsoft Excel, Word and Outlook, as well as strong keyboarding skills using computers and business calculators, are essential. The successful candidate will possess the ability to communicate effectively (both orally and in writing) with all levels of staff and vendors, and is able to work in a deadline-driven environment with a high-degree of accuracy. Excellent interpersonal and customer service skills are essential. Ability to work with minimal supervision both independently and within a team environment is required. Testing may be required as part of the interview process.

Key Responsibilities
1. Work with an enterprise-wide financial accounting system (K212 Finance).
2. Receive and sort Invoices into Batches according to specified criteria.
3. Forward Invoices requiring follow-up to appropriate personnel for verification, coding and approval, in compliance with ADSB policies and procedures.
4. Prepare and process Invoices and Employee Expense Reimbursement Claims for entry or import.
5. Submit Batched Invoices to Data Entry Clerk for processing
6. Cross-check and verify that each Invoice has been correctly entered into the system.
7. Process Online Purchase Requisitions.
8. Liaise with Board staff and vendors regarding Accounts Payable and Purchasing issues.
9. Prepare journal vouchers as required.
10. Review and reconcile the Unpaid Invoice Report and Vendor Statements on a weekly basis conducting follow-up, as required.
11. Process Weekly Cheque Run.
12. Maintain Outstanding Cheques.
13. Maintain Vendor Database.
14. Prepare and distribute Statistics Canada Reports.
15. Provide information and train new BAS Clerks, Data Entry Clerk and School personnel on K212 Finance system as required.
16. Performs other clerical functions as assigned, including but not limited to: typing, data entry, maintaining records, filling, answering telephones, answering queries, switchboard relief, mailroom assistance, operating desktop scanners, photocopy machines, bank runs, and information research and reporting.
17. Must acquire a good working knowledge of the Algoma District School Board’s human resources information system, K212 HRP, in order to process regular and casual payroll while working in a technical personal computer and networked computer environment.
18. Awareness to work with the data in the Payroll database in order to develop reports for distribution as required using reporting software applications.
19. Assists in the collection of data in order to maintain the accuracy of the absence system.
20. Perform a variety of batch balancing procedures.
21. High level of communication required with employees, on the phone, via email and in person, providing information as requested and resolving issues.
22. Liaise with Board staff and external agencies regarding Payroll issues. (Canada Revenue Agency, Teacher’s Pension Plan (TPP), Ontario Municipal Employees Retirement System (OMERS), etc.)
23. Processes and distributes payroll data, maintains department files and ensures the accuracy of the database. (eg. Sick Leave Reports, Payroll registers, Deduction register, T4’s, Timesheets, Records of Employment, etc.).
24. Electronically transfer payroll for employees and external agencies.
25. Prepares journal entries as required.
26. Perform the accounting of the Payroll and interface into the Board’s Financial Accounting System. (eg. Accounts payable invoices, payroll liability accounts, accounts receivable, deductions, etc.).
27. Performs other routine clerical functions as assigned, such as typing, data entry, filing, posting, maintaining records, compiling of information, answering queries via telephone and email, operating copy machine and computer terminal, etc.
